Set up your agency’s white-label branding so clients experience your brand — not Voice AI Portal’s. This guide walks you through every step from agency profile to advanced customisation.

Who this is for: Agency admins setting up their platform for the first time
Before You Begin
You will need:
- Admin access to your Voice AI Portal account
- Your custom domain already verified and live — if you haven’t done this yet, complete the Custom Domain Setup Guide first before continuing
- Your agency logo in SVG or PNG format with a transparent background
- Optional: A favicon file (ICO, PNG, or SVG, under 100KB)
⚠️ Your custom domain must be verified before logos and login page settings become available. All branding sections remain locked until Step 1 of Setup Progress shows a green checkmark ✓.
Step 1 — Fill In Your Agency Information
Your agency name, contact details, and description appear across client-facing pages, invite emails, and workspace dashboards.
- In the left sidebar, click Settings.
- Select the General tab.
- Under Agency Information, fill in:
- Agency Name — your brand name as clients will see it
- Industry — select the most relevant category from the dropdown
- Business Description — briefly describe what your agency does and who you help (up to 500 characters)
- Click Save Information.
- Scroll down to Contact Information and fill in:
- Support Email — used in client communications and system emails
- Contact Number — displayed on invoices and footers
- Website URL — your public-facing website
- Business Address — used on billing receipts
- Click Save Contact Information.
💡 Tip: Keep your Business Description concise. It appears in client portal footers and email templates — 1–2 sentences is ideal.
Step 2 — Upload Your White-Label Logo
Once your custom domain is verified, the White-Label Logo section unlocks automatically in Settings > White-Label.
- Scroll to White-Label Logo (Section 2).
- Choose your Logo Mode:
- Use one logo for all themes — your logo displays on both light and dark backgrounds
- Use different logos for light and dark themes (Recommended) — upload separate versions optimised for each
- For Light theme logo: Upload a version with a dark-coloured logo on a transparent background.
- For Dark theme logo: Upload a version with a light-coloured logo on a transparent background.
- Click Upload Logo for each. The Current Logo preview updates instantly.
- To remove a logo at any time, click Remove Logo.
Logo file requirements:

💡 Why two logos? Clients can switch between light and dark themes in their portal. A single logo can appear washed out or invisible on one background — separate versions ensure your brand always looks sharp.
Step 3 — Customise Your Login Page
Your login page is the first thing clients see. Customise the layout, theme, and brand colours here.
- In Settings > White-Label, scroll to Login Page Customization (Section 3).
- Under Theme Layout, select a Theme Mode:
- Light Mode — clean white background
- Dark Mode — dark navy background
- Choose a Template:
- Modern — contemporary card layout with subtle effects
- Premium (Recommended) — gradient background with glass effect
- Under Brand Color, either:
- Click a Quick Preset colour swatch, or
- Enter a custom HEX code directly (e.g.
#0ea5e9)
- Your brand colour is automatically applied to buttons, links, and template accents. Premium gradient backgrounds are generated from it.
- Click Show Advanced to access secondary colour and text colour overrides if needed.
- Review your changes in the Live Preview panel:
- Toggle between Desktop and Mobile views
- Switch between Dark and Light preview themes
- Click View Full Page to open a full-screen preview in a new tab
- Click Save Theme Settings to apply.
💡 Tip: Click View Full Page and walk through the login flow as a client would — check colours, logo placement, and the sign-in form on both desktop and mobile before going live.
Step 4 — Configure Advanced Settings
Advanced Settings are optional but improve SEO and give your login page a polished, professional feel.
- In Settings > White-Label, scroll to Advanced Settings (Section 4).
- Fill in Meta Title — the browser tab title and SEO title for your login page (max 60 characters, e.g. “Acme Voice AI — Client Portal”).
- Fill in Meta Description — a brief description for search engines (max 160 characters).
- Under Favicon, click Upload Favicon to upload your browser tab icon:
- Accepted formats: ICO, PNG, SVG
- Maximum size: 100KB
- The Current Favicon preview shows your active icon
- Click Remove Favicon to revert to the default
- Click Save Advanced Settings to apply.
💡 Tip: Use the same icon as your main website favicon for a consistent brand experience across browser tabs.
Confirm Your Setup is Complete
After completing all steps, your Setup Progress bar in Settings > White-Label should show 4 of 4 completed (100%).

Test your setup by visiting your custom subdomain in a private/incognito browser window. You should see your logo, brand colours, and login page exactly as configured.
