Short answer: Multichannel AI agents answer customers on more than one channel: phone calls, web chat, SMS and WhatsApp. In Voice AI Portal, calls, web chats and SMS come from ElevenLabs, Retell AI and Vapi agents, and WhatsApp and help desk tools from ElevenLabs agents. Every conversation lands in one list in the client's branded portal, labelled by channel and counted in their totals.

Your clients’ customers do not only phone any more. They type into the chat window on the website, send a text, or message the business on WhatsApp. Multichannel AI agents answer on all of those channels, and ElevenLabs, Retell AI and Vapi already support most of them. The harder part is reporting: when one client’s AI agent talks to customers in four places, the client wants one place to see all of it.

What a multichannel AI agent is, and how it works across channels

A multichannel AI agent is a conversational AI agent that talks to customers on more than one channel: phone calls, web chat on a website, SMS and messaging apps such as WhatsApp. Think of it as an AI assistant for the front desk that works across multiple channels. Sometimes a single agent answers everywhere; sometimes you build multiple AI agents from the same prompt and knowledge, such as a voice agent and a chat agent. Either way, the business gives the same answers wherever the customer gets in touch.

Unlike a scripted chatbot, these AI-powered agents hold a real conversation, by voice or text. For a small business, the use cases are familiar ones: customer support and Q&A, booking appointments, qualifying enquiries and taking messages after hours, so the human agents on the team can focus on complex issues. The difference is that customers pick the channel, not the business.

Why clients want one place to see every channel

Every channel you add for a client adds value to your service. It also adds one more place where conversations happen out of sight. If calls, chats and messages are reported in different tools, the client never gets the full picture.

Good reporting across channels is part of the customer experience you deliver to your client. Clients want three things:

  • Everything in one list. A single conversation history of customer interactions, whatever the channel, with the newest first.
  • The channel on every conversation. So they can see where customers are coming from, and filter to the one they care about.
  • Totals that include everything. A WhatsApp conversation still takes a receptionist’s time, and the reporting should count it.

Which channels each provider supports in the portal

Voice AI Portal shows conversations from every channel your clients’ agents answer. The channels depend on the client’s provider.

Channel ElevenLabs Retell AI Vapi
Calls (phone and web calls) Yes Yes Yes
Web chat Yes Yes Yes
SMS Yes Yes Yes
WhatsApp Yes No No
Help desk tools Yes No No

Calls, web chat and SMS work for all three providers. WhatsApp and help desk tools are offered by ElevenLabs, so they are available for clients whose agents run on ElevenLabs.

What the portal shows for each channel

Every conversation lands in the client’s Conversations list with a badge for its channel: Phone, Web call, Web chat, SMS or WhatsApp.

Calls

Phone conversations and voice calls from a website show the recording with a player and a download button, a transcript that can be searched, copied or downloaded, the summary, outcome, sentiment and duration. Inbound and outbound calls are both covered.

Web chat

Web chats open as a chat-style transcript with the summary, outcome and sentiment where the provider reports them. In the list, chats show their message count where calls show a duration. For Retell AI and Vapi chats, the transcript shows the customer’s and the agent’s messages, without the agent’s internal tool calls.

  • ElevenLabs clients: you set up web chat from the portal. Pick the agent, choose Chat only, Voice + text or Voice only, write the first message, list the websites allowed to show the chat, then copy the embed code. A test page shows the chat exactly as visitors will see it.
  • Retell AI and Vapi clients: you set up the chat widget in Retell AI or Vapi, following their own guides, and the portal shows the chats automatically. For Retell AI, add the chat agent to the client’s agents in the portal.

The web chat setup guide covers both routes step by step.

SMS

Text message conversations appear labelled SMS, with a chat-style transcript, for all three providers. You set SMS up in the provider. Each provider has its own number requirements: Retell AI’s two-way SMS uses US numbers registered for A2P 10DLC, and Vapi’s SMS chat uses a 10DLC-approved Twilio number, with the customer sending the first message. ElevenLabs agents answer texts sent to a connected Twilio number.

WhatsApp

For clients whose agents run on ElevenLabs, the agent can answer customers on WhatsApp: text messages, voice notes and WhatsApp calls. You import the client’s WhatsApp Business number in ElevenLabs, then link it to the client in the portal, choose the agent that replies and set three switches: reply to messages, reply to voice notes with voice notes, and show typing indicators and read receipts.

Clients see every WhatsApp conversation next to their calls, and a WhatsApp tab on their Numbers page shows each number’s status, the agent answering it and its conversations, read only. From the portal you can also start conversations with approved template messages and WhatsApp calls, singly or as a campaign. See the WhatsApp channel page and the WhatsApp setup guide.

Help desk and team messaging tools

ElevenLabs agents can also answer in help desk and team messaging tools. Those conversations appear in the same list, labelled with the tool’s name.

One list, filtered by channel

One list only helps if the client can make sense of it. The portal does three things with channels:

  1. A channel filter on Conversations. The filter lists the channels in that client’s conversations, so they can see only their web chats or only their WhatsApp messages.
  2. A channel filter on Analytics. It narrows every figure on the page to one channel, or shows all channels. Once a client has chats, the headline becomes Conversations Handled instead of Calls Handled, with calls and chats counted separately.
  3. Channels in the totals. Analytics breaks conversations down by channel, and chats count in conversation totals and in staff time handled: each resolved chat adds 3 minutes, whichever provider it came from.

The result is one report for the whole multi-channel service, across voice, chat and messaging, under your brand, with no extra workflow or exports.

Multichannel or omnichannel customer experience?

In practice, multichannel means the business is available on several channels. Omnichannel usually means the experience is joined up across them, so a customer can start on one channel and continue on another without repeating themselves.

Whether an agent carries context from one channel to the next depends on how you build AI agents in ElevenLabs, Retell AI or Vapi, and on each agent platform’s own features, such as ElevenAgents for ElevenLabs. The portal’s job is the reporting side: every conversation from every channel, labelled and counted, in one client portal.

Best practices for adding a channel for a client

The portal reads from the client’s existing provider account, so adding a channel needs no new reporting setup or integration. It fits the onboarding workflow you already have:

  • Web chat for an ElevenLabs client: switch on chat channels in the client’s settings, set up web chat and paste the embed code into their website.
  • WhatsApp for an ElevenLabs client: import the number in ElevenLabs, link it in the portal and choose the answering agent.
  • Web chat or SMS for a Retell AI or Vapi client: set it up in the provider, and make sure the agent that answers it is selected for the client in the portal.

Then tell the client the new channel is live, and point them at the channel filter.

Questions about multichannel AI agents

Do multichannel AI agents work for small businesses?

Yes. They suit small businesses well, because there is rarely a team free to watch every channel. The key is making the extra channels visible, so the owner sees the chats and messages the agent handled, not only the calls.

Is a multichannel AI agent the same as a multi-agent system?

No. A multi-agent system is a way of building AI systems, where several agents split up the work on a task, with orchestration deciding which agent does what. That is a design choice in agentic AI. A multichannel AI agent is about where the agent talks to customers. You might use more than one agent for a client, for example a voice agent and a chat agent on Retell AI, and the portal reports on every agent you select for that client.

What happens when a conversation needs a person?

The handoff to a person, and any escalation or call routing rules, are set up in the agent, in the provider. The portal shows how each conversation ended, and staff time handled gives half credit to conversations that were transferred to a person. For WhatsApp, give customers a clear way to reach someone on the team, and mention it in the agent’s instructions.

How do I get started?

Connect a client’s ElevenLabs, Retell AI or Vapi account and their conversations appear in a portal with your brand on it, every channel included. The portal keeps each client’s reporting up to date, so there is no monthly report to assemble by hand. You can try it on a 14-day free trial, no card needed.
